Imperial Brands have a new exciting opportunity to join our People and Culture Operations team in our Bristol headquarters. This is a fantastic opportunity for candidates looking to develop their HR / People and Culture career further within a global FMCG. 

As a key member of the team, you will administer a high quality and consistent service to Business Partners, People and Culture Business Partners, People Managers, Employees, Payroll and third parties in an efficient, timely and customer focused way. Giving you a fantastic opportunity to build relationships with key stakeholders across our global business. 

You will use Imperial Brands HRIS (HR Information System) to enter and obtain information, as well as a our CRM (Customer Relationship Management) administering HR transactions ensuring adherence to service level standards and to monitor process efficiencies. Part of the role will involve reporting and analysing information from our systems.

You will also support the People and Culture Operations Team Leader to roll out the Workday optimization model to the People and Culture team, Employees and People Leaders. You will demonstrate how to provide knowledge and ideas to challenge existing processes and streamline ways of working. 

Please note: This role is based in our Bristol Head Quarters where we work on a hybrid basis of 2 days per week in the office. 

Key Accountabilities

  • Undertaking the full range hire to retire administration (job offer, onboarding, new starter induction, job change, time off and benefit management administration, which includes the production of letters, providing information to 3rd parties & payroll, etc.) 
  • Providing timely, accurate and responsive answers to questions from Employees, People Leaders and P&C Business Partners raised through ‘cases’ which are generated through the Customer Relationship Management (CRM) ticketing system. Ensuring all cases (regardless of communication channel) are logged, categorised and updated through the CRM tool.
  • Creating great relationships with stakeholders, employees and People Leaders, to demonstrate excellent customer engagement and collaboration.
  • Providing the maintenance of existing process documentation to reflect any agreed changes for compliance and governance purposes. Ensuring that version control is maintained and that any customer facing change is reflected in any user guides.
  • Supporting the maintenance of local policies to support legal changes and new ways of working and making these visible to the appropriate populations (all employees, People Leaders or P&C team), following the version control governance. Supporting the P&C Operations Team Leader with the annual policy review in line with legal changes and best practice.
  • Be a champion for change; can demonstrate how to openly challenge and share ideas and solutions within the P&C Operations team and wider P&C team, to streamline efficiencies. Providing continuous improvement ideas to highlight efficiencies to improve the effectiveness in the service.

Skills and Experience Required

  • Proven experience of working in a busy, fast-moving administration team, within a HR environment.
  • Experience of handling high volumes of queries and query management
  • Proven experience of using a HRIS or other complex management information system.
  • Experience of working in a 'customer focused' environment and collaborating with employees and people leaders
  • Excellent communication skills and attention to detail
  • Experience of administering HR processes.
