The Role

We’re seeking an experienced and highly organised Team Assistant & Project Coordinator to support senior team members and contribute to the broader success of the team. This role goes beyond traditional administrative responsibilities and offers the opportunity to drive and manage initiatives that enhance team operations, engagement, and internal collaboration.

You will operate at the heart of a dynamic and international function, ensuring seamless day-to-day operations while also coordinating selected internal projects. These include initiatives related to employee experience, communication, and team culture, including planning engagement activities, recognising key milestones, and fostering inclusivity. You will work closely with team members and stakeholders across functions, becoming a valued and trusted partner.

Principle Accountabilities

  • Provide proactive and high-quality administrative support to senior team members, including calendar and travel management, meeting coordination, and preparation of briefing materials.
  • Manage team-level logistics such as internal meetings, townhalls, team offsites, and business reviews.
  • Support expense management and reporting via Concur and SAP.
  • Coordinate internal projects aimed at improving team effectiveness, engagement, or operational excellence (e.g., onboarding programs, process optimisations, knowledge-sharing frameworks).
  • Draft clear and engaging internal communications, presentations, and updates on behalf of the team or key members.
  • Maintain and enhance internal administrative systems and digital collaboration platforms (e.g., SharePoint, Teams).

Skills and Experience Required

  • Strong organisational skills and a proactive, structured way of working
  • Excellent interpersonal and communication skills, with the ability to build trusted relationships across all levels
  • Professional presence with a high level of discretion and integrity
  • Fast learner with a solution-oriented mindset and strong sense of responsibility
  • Fluent in English (written and spoken); German is a plus
  • Curious, solution-oriented, and motivated to shape internal processes and team culture
