The role

This role can be based in either Liverpool or Bristol.

A new role with the Process and Governance pillar of Imperial’s central Innovation function. Reporting to the Head of Innovation Process & Operations, this role will have a global remit and is responsible for providing support in maintaining standards and best practice, ensuring compliance and reporting performance of all projects and programmes within the critical commercial end-to-end process - Ideation to Launch. They provide support to the Head of Innovation Process & Operations who is responsible for the operational stewardship of the projects through the innovation process and has full oversight of the cross-category Innovation portfolio and for the pipeline of innovation projects – including its status, risks, value & resources to deliver.

Key accountabilities

  • Administer all, and facilitate some, I2L Governance & Project meetings, including the preparation of agenda, synthesis of  inputs for presentations, progress reports, minutes and coordination of follow-up actions e.g. Product Initiative Forum & Stage Gate Forums
  • Ownership of I2L shared workspace (e.g. Teams) to ensure traceability of Project/Programme progress but also information exchange between Project/Programme members. This also includes maintaining soft copy filing of all project/programme documentation and provision of guidance on document management. 
  • Ensure quality standards are maintained in the project/programme reporting, stage gate documentation submissions and change request processes.
  • Create I2L Project Portfolio reports as required by varying stakeholders, ensuring they are up-to-date and accurate, including collating, monitoring and improving I2L Process KPIs, as required
  • Support on identification and monitoring of project/programme related issues & risks and capturing critical risks in a general I2L Portfolio risk register.
  • Monitor resource capacity across I2L Portfolio of Projects/Portfolios
  • Provide guidance to Project/programme Managers on applicable controls and processes, including investment approvals and reporting
  • Pro-actively seek for areas of improvements to processes and procedures for the successful delivery of projects/programmes on time, in scope and budget – leading I2L Process continuous improvement projects, where appropriate
  • Be a guardian of the I2L Process Architecture, ensuring that it is communicated and applied in a consistent manner, and fully integrated with other relevant Enterprise Processes in the IMB process taxonomy.

Skills & experience

Essential

  • Good understanding of project/ programme management methodologies.
  • Demonstrate good understanding of Project Reporting and Governance.
  • Thorough, disciplined, well-structured and pro-active approach to tasks.
  • Excellent administrative and organisation skills. 
  • Assertive and strong communication skills (verbal, written and listening) with the ability to interact and communicate in a manner applicable to all levels.
  • Ability to capture, analyse and portray information in a clear and concise format. E.g. summarising stage gate project documents and building slides for SGF, PIF. 
  • Ability to integrate well as a part of an international team. 
  • Ability to develop and maintain strong relationships with a wide range of individuals, including at a senior level. 
  • A good team-player with excellent interpersonal skills.
  • Good facilitation skills and confident in presenting.
  • Excellent Microsoft Office skills.
  • Excellent verbal and written English skills.
  • Customer-focused, service-oriented and responsive mind-set.
  • Good understanding of Change Management processes.

Desirable

  • Minimum of one years’ experience of working within Process Governance/Project Portfolio Management Office or similar within tobacco/ FMCG industry.
  • Professional Qualification in Project or Portfolio Management
