The role

Fontem Ventures, a subsidiary of Imperial Brands plc has a clear mission to deliver harm reduced nicotine products to consumers and is a leader in next generation technology. We are looking for an Office Management Assistant for our Fontem Ventures office in Amsterdam. In this role you will be the first point of contact for our company. You will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. You are responsible for developing office communication protocols, streamlining administrative procedures, inventory control, Executive Leader support and much more.

We are looking for an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and who enjoys the administrative challenges of supporting an office of diverse people. This position can be filled fulltime or parttime.

Key accountabilities

  • The welcoming of visitors, parking registration, keeping visitors records and giving directions to offices;
  • Phone: answer, screen and forward incoming phone calls;
  • Email inbox management for internal and external traffic;
  • Office supply / inventory management;
  • Mail management: receive, sort and distribute daily mail/deliveries;
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
  • Part of the Social Committee supporting with company events and administration;
  • Support Crisis Response Team (i.e, Covid) with related activities;
  • Management support: diary management and arranging appointments, booking meeting rooms and conference, catering facilities, arrange travel and accommodations, prepare and submit senior leaders monthly expenses;
  • Building maintenance and 3rd party relationships;
  • Ensure that health and safety policies are up to date in conjunction with HR.

Skills & experience

  • Proven work experience as a Receptionist, Front Office Representative or similar role;
  • High school degree; additional certification in Office Management is a plus;
  • ERT certification or willingness to obtain this;
  • Proficiency in Microsoft Office Suite;
  • Hands-on experience with office equipment;
  • Professional attitude and appearance;
  • Ability to be resourceful and proactive when issues arise;
  • Excellent organizational skills;
  • Solid written and verbal communication skills in English and Dutch.
