The Role

Executive Assistant 

 

We have an exciting, highly challenging, and interesting London based hybrid opportunity for an experienced and resourceful Executive Assistant. You will be an essential resource to the our Senior Leadership teams for supporting all aspect to ensure the efficient and effective execution of their role. This is a great opportunity for a professional and experience Executive Assistant to be part of our inclusive, innovative global FMCG business supported by 25,000 employees.

 

We are looking for a candidate who understands the myriad of complexities involved in ever changing dairy arrangements and handling all manner of organisational tasks, is a team player who is able to work independently and part of a wider team.

Principle Accountabilities

  • Provide comprehensive administrative support to the Senior Leadership team, encompassing tasks such as arranging meetings, intricate diary management, maintaining contact databases, organising filing systems, and managing the flow of information from both internal and external sources.
  • Handle correspondence directed to your stakeholder
  • Coordinate travel arrangements and logistics including transportation, accommodation, and dining arrangements.
  • Ensure timely processing of invoices and expenses meticulously recording them within the Group's systems.
  • Schedule meetings, organising and distributing board papers, and facilitating communication.
  • Offer administrative assistance as required.
  • Cultivate strong and professional relationships with both external and internal stakeholders, including senior management and their respective teams.

Skills and Experience Required

  • Proven track record of providing Executive Assistant support a C-Suite level
  • Advanced MS office skills (including the knowledge of using shared folders)
  • Excellent organisational and time management skills, the ability to manage conflicting priorities under pressure, reprioritising and delegating where necessary.
  • A high level of initiative and problem-solving skills, with the ability to respond constructively, and at pace to unforeseen events.
  • An excellent communicator with collaborative approach
  • Excellent judgement and ability to use tact and discretion at all times along with the ability to maintain confidentiality.
